For accounting and bookkeeping firms with 10 to 50 people

The same questions, every cycle

Clients ask the same questions each cycle, and the right answer depends on which version of the guidance applies. Answering from memory is fast, and occasionally wrong in a way nobody notices until much later.

A grounded agent answers from the firm’s own approved material, cites it, and refuses when that material does not settle the question. Anything needing professional judgement stays with the person who carries it.

What we see in accounting firms

Last cycle’s answer, this cycle’s rules

A saved reply gets reused after the guidance or a threshold has moved. Nothing in the reply points back to a source, so nobody can tell which version it came from.

The same intake questions, every client

Clients ask what to send, in what format and by when. Staff answer individually in email and chat, in wording that differs between them.

Documents arrive faster than they are filed

Statements, receipts and forms accumulate in a shared mailbox. Sorting them is high volume and low judgement, and it tends to happen in a rush near a deadline.

What gets built

Assess

We review the Microsoft 365 tenant, licensing, a representative set of the firm’s own guidance and templates, and the questions staff repeat. You get a written recommendation on where a grounded agent could help, what would block it, and what should stay with a person.

Fixed scope and fixed fee. The report can recommend not building anything yet.

Build

One grounded agent in production over the agreed document set, citing the material it answered from. Superseded guidance, unsupported questions and conflicting sources are part of the acceptance checks, and refusal is an intended outcome rather than a gap to fill.

The build scope and delivery window are agreed after the assessment.

Extend and govern

Add scoped automation for the repetitive parts, such as classifying and filing inbound client documents with a confidence threshold you set. Document who owns each source and how superseded guidance is retired.

Each extension is scoped after the assessment, with its delivery window agreed before work starts.

Questions from accounting firms

Will the agent give clients tax or accounting advice?

No. It answers from the material your firm has approved and cites it. Anything that depends on a client’s circumstances, or on professional judgement, stays with the person responsible for the engagement.

What happens when the guidance changes?

The build needs an agreed source owner and a process for replacing superseded material. The assessment checks whether that process exists, because a citation is only useful if it points at the version that currently applies.

Can it file documents without a person checking?

Only where you decide it should. A confidence threshold separates what is filed automatically from what a person reviews, and where that line sits is your decision. We test the low-confidence path as carefully as the straightforward one.
